Holy Cross Mothers Guild

"Celebrating over 51 years of Holy Cross Tradition"

At Notre Dame High School, the volunteers are the key reason for our successful school programs and the development of our resources. The Holy Cross Mothers Guild is one opportunity in which parents may participate that supports the development of Notre Dame, and at the same time, fosters a sense of community and promotes the beginnings of life-long friendships.


Holy Cross Mothers Guild Mission

The Holy Cross Mothers Guild and Legacy Guild is comprised of both current and alumni mothers of Notre Dame High School students. The primary purpose is to support the spiritual mission of Notre Dame High School by assisting the President, Principal, school administration and the Brothers of Holy Cross in promoting the faith community of the school.

The Holy Cross Mothers Guild forms standing committees to assist various programs and events throughout the school year, especially for the retreat program. The Guild also presents its Annual Luncheon and Fashion Show in the spring with the proceeds funding the Holy Cross Mothers Guild Scholarship Fund for current students who need financial aid to continue their Notre Dame High School education after the death of a parent.

The Guild Basics

Notre Dame High School encourages parents to get involved in our community. Our volunteers are a significant reason for the success of many programs and activities on campus. Mothers who join the Holy Cross Mothers Guild actively participate and support the development of our community, while making life-long friendships.

Membership is open to mothers of Notre Dame students with the annual membership drive taking place in August and September each year. Members actively contribute to both a Mission committee and a Fashion Show committee for the year. Meetings are held on campus once a month, September through May. Alumni mothers of Notre Dame High School students are invited to continue their association with Holy Cross Mothers Guild by joining the Legacy Guild.

The Holy Cross Mothers Guild is led by an annually elected board consisting of President, Vice-President, Treasurer, Secretary and Mission Chair. The Fashion Show Chair and Co-Chair are non-elected members of the board.
The Mission Committees support the school community by helping the faculty, administrators and campus ministry with assistance such as the volunteer power to serve meals, providing refreshments, and providing fresh flowers weekly and ironing Altar linens monthly for the St. Joseph’s Chapel.
The Fashion Show Committees support the school community by hosting its annual luncheon and fashion show in the spring with the proceeds funding the Holy Cross Mothers Guild Scholarship Fund for current students who need financial aid to continue their Notre Dame High School education after the death of a parent. Senior students of Members in Good Standing are the models. Junior students of Members in Good Standing assist the day of the event.

  • Mission Committee Descriptions

    Christian Service Committee - Supports NHDS students by providing opportunities for students to fulfill their Christian Service Hours by leading and facilitating service projects which will help our students understand what it means to make a difference in the lives of others. Committee members will help secure opportunities by identifying agencies/projects in need to help the poor, homeless, the elderly, as well and children and adults with special needs. The Committee will work with the NDHS Christian Service Coordinator.
     
    Community Support - Supports NDHS community events including Teacher Welcome Days, Report Card Counseling Dates, Freshman Retreats, Family Mass and Baccalaureate Mass. The committee supports these events by helping the faculty, the administrators and Campus Ministry Team with special celebrations and/or receptions through providing food, service and artistic talents. 

    Gala Mission Committee - Supports the Major Fundraiser for NDHS. Supports the Advancement Office by volunteering to serve on committees such as set up, clean up, assist with check-in of guests, Live Auction Spotter, manage Silent Auction tables, check out of purchasers, or work in Advancement Office during the day with procurement of prize donations, data entry of those donations and sponsors of the event.  

    Immersion Committee - Supports Junior Retreat by supporting the school’s Immersion Projects for junior students by assisting with chaperoning and/or driving the students while they experience service help to elderly and shopping for food on Wednesdays.  Committee members also assist students in preparation of the evening meals in the Holy Cross Center kitchen on Wednesday and Friday nights.  Committee members are asked to assist at one activity of three different Immersion Retreats.

    Kairos Retreat Committee - Supports Senior Retreats by supporting the Campus Ministry Team in its effort to provide a spiritual senior retreat through a four-day experience off campus.  This committee provides refreshments (pizza and snacks and drinks) off-campus at the Welcome Back reception (locations vary).  

    Mentoring Mothers Committee - Supports New Mothers and promotes HCMG by providing guidance, support and helpful hints while they “learn the ropes”, make new friends and find what their passions are.  This committee is particularly active in the first three months but continues to create opportunities throughout the year to build relationships among all members.  Each new member will be paired with an experienced mother, continuing this tradition and building on it.

    Spiritual Support - Supports the spiritual needs of the NDHS community with prayer and other spiritual support and needs in times of illness or crisis. This includes supporting the monthly rosary held prior to the HCMG meetings at 6:15 pm; supporting the Campus Ministry Team in providing fresh flowers weekly and ironing Altar linens monthly for the St. Joseph ’s Chapel in the Holy Cross Center.  This Committee also follows up on prayer requests received at meetings or via emails to support families in need due to illness, injury or death.  The members of the committee will coordinate an effort by the Mothers Guild and the ND community at-large to respond to the needs of a family in crisis through efforts like organizing family meals for a short period of time, assisting with transportation for family members, etc.  Our Notre Dame Family already steps up in efforts like this when needed; this committee will help to coordinate the follow-up and support.

  • Fashion Show Committee Descriptions

     
    Basket Wrap Committee
    • Wraps Silent Auction, Grand Raffle and Ticket Raffle Prizes prior to event;
    • Meets on Saturdays or weeknights to wrap;
    • Each committee member will be required to attend at least three (3) wrapping sessions;
    • Coordinates with Data Entry Committee to assure descriptions are correct for each basket or gift certificate.
     
    Data Entry
    • Log all items donated as they are received;
    • Build baskets once all items are received and entered;
    • Enter basket items into OneCause system and assign basket numbers;
    • Coordinate with Day Of Committee during the Fashion Show.

    Day of Committee
    • Collect baskets from ND the Friday before event and transport baskets to the event on Saturday morning;
    • Set up and manage the Silent Auction tables;
    • After bidding closes, move the Silent Auction items to the check-out area;
    • Assemble winning baskets for guests to pick up at check-out after conclusion of the Fashion Show;
    • Brings unclaimed auction items back to ND.
     
    Donations Committee
    • Responsible for soliciting Silent Auction donations from community, friends, school parents and auxiliary HCMG members;
    • Follows-up on all solicited items;
    • Responsible for sending thank you letters to donors for their donations.

    Grand Raffle Committee
    • Committee members are responsible for soliciting/donating at least one Grand Raffle item valued at over $250 (if purchasing Grand Raffle item, members can combine their resources with other committee members to create their Grand Raffle donation requirement which will satisfy their HCMG $75 donation requirement);
    • Responsible to pre-sell raffle books at March and April General Meetings;
    • Grand Raffle members are responsible for selling five books each, outside of HCMG meetings.
     
    Invitations/Reservations Committee
    • Responsible for obtaining a design of the invitation and program cover according to theme;
    • Responsible for gathering information for the invitation from the Fashion Show Chair and raffle ticket information from the Grand Raffle Chair;
    • Obtains bids for printing and presents the bids to the Executive Board at the January meeting;
    • Responsible for assembling printed invitations and mailing according to timeline provided by Fashion Show Chairs and assisting Chairs to create and send Paperless Post;
    • Day of Fashion Show Responsibilities include training with OneCause associates at 9:00 a.m. to learn check-in procedure as well as working a shift to check in all guests.
     
    Junior Volunteers Committee
    • E-mails all junior volunteers regarding their availability for the Fashion Show;
    • Creates work schedule for each junior to help Ticket Raffle Committee, Models Committee, Silent Auction Committee and Stage and Table Decor Committee;
    • Responsible for providing list of juniors to above committees prior to event;
    • Communicates the Fashion Show dress code (based on theme) to the juniors working at the Fashion Show;
    • Responsible for tallying hours worked for each junior through sign-in/sign-out system.
     
    Models Committee
    • Send Models Commitment Form to all eligible seniors and moms;
    • Coordinates rehearsal times with the models and Fashion Show coordinators;
    • Work with models at February General Meeting to introduce them to the HCMG, get their bios for the program and have their pictures taken;
    • Work with show producer at models rehearsals and the day of the Fashion Show;
    • Responsible for dressing models, helping with make-up and keeping models on schedule during Fashion Show;
    • Responsible to pick-up and return borrowed clothes, if needed.
     
    Program Committee
    • Responsible for soliciting ads from former and new advertisers;
    • Responsible for gathering information for program book from other committee chairs;
    • Responsible for giving above information to Moderator for mock-up of program book;
    • Responsible for sending  thank you letters to all advertisers;
    • Distribute program books to each guest in the ballroom on the day of the event.
     
    Stage and Table Decor Committee
    • Decorates stage, backdrop and/or runway, according to Fashion Show theme;
    • Decorates areas outside the ballroom according to Fashion Show theme;
    • Transports all decorations to and from the event
    • Creates centerpieces and table décor for each table to coordinate with theme;
    • Provide table envelopes for “chances to win” and collect before winners are announced;
    • Seals and delivers envelopes to Treasurer.

    Theme Parties Committee
    • Responsible for soliciting and coordinating details for six to eight Theme Parties for the Silent Auction;
    • Responsible for communicating party details to Fashion Show Chairs, Program and Data Entry Committees for inclusion in the Program and Data Entry purposes;
    • Creates posters to highlight each event and for presenting them as a “sneak peak” at the March/April General Meetings;
    • Responsible for sending e-mails to all winners confirming party dates and providing contact information for party hosts;
    • Sends thank you notes to all party hosts.

    Ticket Raffle Committee
    • Committee solicits a minimum of 8 prizes valued at $200 or more; guests can purchase tickets and take a chance on winning their desired basket;
    • Committee provides boxes to coordinate with theme for guests' tickets in front of prizes;
    • Junior volunteers will sell tickets before the luncheon - members sell at Ticket Raffle table;
    • Transport prizes to ballroom and distributes prizes to winners in ballroom;
    • Give money collected to Treasurer.

Membership in Good Standing Criteria

The following are the list of criteria for membership in the Holy Cross Mothers Guild:
  1.  Attends General Meetings each month with no more than two unexcused absences per year. An absence is considered excused by having been communicated to the secretary prior to the meeting
  2.  Pays HCMG annual dues
  3.  Meets all Mission Committee and Fashion Show Committee obligations
  4.  Submits signed commitment letter
  5.  Contributes a basket donation and program ad for Fashion Show
  6.  For a Senior student of a HCMG member to qualify as a Fashion Show model, the following criteria must be met:
    • HCMG member must be a member in good standing (see criteria above)
    • HCMG member must have been a member in good standing for at least two full years prior to their senior year
    • Junior students must work the day of the Fashion Show event, unless excused due to a conflicting NDHS event
    • Senior models must attend all model rehearsals unless excused
    • Senior models must sign commitment letter
